Calendar
Connect Google or Outlook calendars to Vadio, manage sync status, and keep your availability up to date.
Connect external calendars to Vadio for busy-time blocking and automatic event synchronization. The calendar integrations page is labelled Integrations in the Vadio interface.
Connecting a calendar
Open Calendar
Navigate to Calendar in the Vadio sidebar. The page is labelled Integrations and shows all connected calendars.
Add a calendar
Select Add Calendar, then choose your provider: Google Calendar or Outlook Calendar.
Authorize access
Follow the provider's prompts to grant Vadio access to your calendar.
Return to Vadio
After authorization, the calendar appears in the connected-calendar list with its email address and provider name.
Connecting an Outlook calendar in a Microsoft 365 organization may require one-time administrator consent. Until consent is granted, the Outlook connection cannot sync events. Vadio provides a setup guide within the connection flow to help administrators through the Microsoft consent process.
Calendar statuses
| Status | Description |
|---|---|
| Active | The calendar is syncing normally. Busy times are included in availability checks. |
| Failing | Errors occurred during sync. Busy availability returns as unknown, which may affect booking slot availability. |
Reconnect a failing calendar promptly. While a calendar is failing, Vadio cannot determine your busy times, which may result in inaccurate booking availability. Reconnecting restores sync and allows recovery of deferred events.
Busy-time blocking
When busy-time blocking is enabled, Vadio checks your connected calendars for busy periods and uses them to block overlapping time slots in self-booking availability.
Multiple connected calendars can contribute busy periods. If a calendar is failing, Vadio treats its availability as uncertain rather than assuming you are free.
Calendar event synchronization
Vadio automatically creates, updates, and deletes calendar events when meetings are scheduled, changed, or cancelled. If a calendar is disconnected, events sync after you reconnect.
Calendar events include the meeting title, a Vadio join link, and the participant list. For self-booking meetings, the event subject uses the meeting title. For regular meetings, the event includes the company name and meeting title.
Reconnecting or removing a calendar
To reconnect a failing calendar, open the calendar integrations page and select Reconnect. To remove a calendar entirely, select Delete. Deleting a calendar stops all synchronization and busy-time blocking for that calendar.
Before deleting a failing calendar, try reconnecting it first. Reconnecting preserves the calendar connection and allows pending events to sync. Deleting removes the connection permanently.
