Self-Booking

Book meetings through Vadio's public booking widget - select a service, provide your details, and confirm.

Self-booking

Book a meeting through a Vadio public booking page in three steps: select a service and time, provide your information, and confirm. No account is needed, and the booking widget works in any browser.

Booking flow

Select service and time

If multiple services are available, choose the service that fits your needs. Select a date from the calendar picker, then choose an available time slot.

Each slot shows the service duration. Blackout dates appear as unavailable. The company name and logo appear at the top of the widget.

Provide your information

Fill in the form fields configured for the selected service. Standard fields include your name, email address, and phone number. Additional custom questions may appear depending on the service.

Complete all required fields to continue. Phone and mobile number validation is applied where configured. Complete the CAPTCHA verification to confirm that you are not a bot. If SMS notifications are enabled, you may also be asked to provide SMS consent.

The booking cannot be submitted if required fields are missing, phone validation fails, or the CAPTCHA is missing or expired. Make sure all required fields are filled before confirming.

Confirm your booking

Review the confirmation screen, which shows the company branding, selected service, submitted information, and date and time.

From the confirmation screen, you can reschedule the booking, start a new booking, or follow a post-booking redirect if the company configured one.

Rescheduling a booking

Reschedule through the booking link in your confirmation or reminder. The widget loads your existing booking, prefills the service and your information, and lets you choose a new time. Complete a new CAPTCHA verification to finish the reschedule.

Cancelling the reschedule flow exits the reschedule journey, and your original booking remains unchanged. This differs from cancelling the booking itself, which cancels the actual appointment.

Cancelling a booking

Cancel through the cancellation link in your booking confirmation or reminder email. The cancellation page lets you cancel an existing appointment without entering the booking widget.

Tracking events

The booking widget sends tracking events to Google Tag Manager, Google Analytics, or Facebook when the page is viewed, a time is selected, information is submitted, a booking is created, or a booking is rescheduled.

When slots are unavailable

If the booking page shows “Booking not available” or no slots appear, one of these conditions may apply:

  • No service is configured for the booking page.
  • No availability is set for the selected date.
  • The date is blocked by a blackout date.
  • Connected calendars are blocking all slots with busy times.
  • The slot became unavailable before submission because someone else booked it.
  • The CAPTCHA expired.
  • The booking page is not published.

The booking widget adapts its appearance to the company's branding, including the company name, logo, and theme. A white-labeled company may show a different brand identity.
