Checklists

Create reusable checklists, attach them to meetings, track completion, and add notes or comments to items - with full mobile support.

Checklists

Create, edit, duplicate, and delete checklists; add and edit checklist items; attach checklists to meetings; view completion counts and status; add notes and comments to items; review checklists during meetings and from meeting history; and use checklists on mobile.

Creating a checklist

Create a checklist with a name, an optional description, and the items you want to track during a meeting.

Create a new checklist

Open the checklists area and select the option to create a checklist. Enter a name that identifies the process the checklist supports, then add a description if your team needs additional context.

Add the initial checklist items in the order you want to review them. Save the checklist when the starting set of items is ready.

Review the checklist

Check that the name, description, and item order match the process you want to follow. Update any item text before attaching the checklist to a meeting.

Use the checklist in a meeting

Attach the checklist to a meeting before or during the meeting. The checklist opens with its items ready for completion tracking.

Adding and editing items

Add items whenever you need another step in the process. Edit an item's text when the process changes, then save the checklist so future meetings use the updated wording.

Each item has a name and an optional description of up to 150 characters. Items hold text only. You cannot attach files or images to an item. There is no limit on the number of items in a checklist.

During a meeting, mark each item complete or incomplete as the discussion progresses. The checklist records the current state of each item and updates the overall progress.

Attaching checklists to meetings

Open the meeting and attach the checklist you want to use. You can attach an existing checklist without changing its reusable content.

A meeting can have one checklist attached at a time. Detach the checklist from the meeting when you no longer need it there, or before you attach a different one. You can detach a checklist only while none of its items are marked complete in that meeting.

Viewing completion and status

Use the checklist progress to see how much of the process is complete. Each item shows whether it is complete or incomplete, and the checklist shows the overall completion count and status.

Review the item states during the meeting to find unfinished steps before the meeting ends.

Adding notes and comments

Add a note or comment to an individual checklist item when the item needs context, follow-up information, or a record of the discussion.

Item notes and comments remain associated with their checklist items. Review them alongside the item during the meeting and when you review the checklist later.

Reviewing during and after meetings

During a meeting, open the checklist panel in the meeting room to see progress, mark items complete or incomplete, and add comments without leaving the call.

After the meeting ends, open the meeting from meeting history to review the checklist, completion status, and item comments.

Checklist progress and comments remain available for review after the meeting ends.

Mobile support

Open checklists from the meeting on a mobile device to follow the same process while you host or coordinate a meeting away from your desk. Mark items complete or incomplete and add comments as the meeting progresses.

Keep checklist items short and action-oriented on mobile. Review the checklist before the meeting so you can move through items without searching for the next step.

Duplicating and deleting

Duplicate a checklist when you need a similar process with different items or wording. The duplicate is a separate copy that you can modify without changing the original checklist.

Delete a checklist when you no longer need it. You can delete a checklist only when it is not attached to any meeting. While a meeting uses it, the delete option is unavailable.

Deleting a checklist is permanent. A deleted checklist and its items cannot be recovered.
