Resources
Browse, download, and manage shared resource files across your organization, a shared library, not physical booking.
Browse and download shared files, templates, guides, and documents curated by your parent company or chain. Track downloads and manage the library with categories and descriptions.
What the resource library is
The resource library is a collection of shared files curated by the parent company or chain. Members browse and download resources, while parent and chain admins manage the library.
The resource library is a shared file library, not a system for booking physical assets. Physical resource booking is a separate feature.
Browsing resources
The Resources page displays a paginated, searchable table of shared files.
| Information | What it shows |
|---|---|
| Title | The resource title. |
| Original file name | The name of the uploaded file. |
| Category | The category assigned to the resource. |
| File size | The size of the uploaded file. |
| Upload date | When the resource was added. |
| Download | An action to download the file. |
Search by title or file name, and filter the results by category. When no resources match your search or the library is empty, the page explains that resources are shared by the chain.
Downloading resources
Download a resource from the resource list. Members of member companies can download files shared by the parent company or chain.
Each download records the user, company, and timestamp. Download counts are displayed and aggregated so admins can understand which resources receive the most use.
Admin management
Parent and chain admins can manage the shared resource library. Member companies consume resources but do not edit the parent library.
Admins can:
- Create categories.
- Rename and reorder categories.
- Upload resources.
- Edit resource titles, descriptions, and categories.
- Delete resources.
- Review download statistics.
Create or select a category
Create a new category or select an existing category for the resource.
Upload a resource file
Upload the shared file that member companies should be able to access.
Add a title and description
Enter a clear title and describe what the resource contains or when to use it.
Assign the category
Assign the resource to the category that members will use to find it.
Save the resource
Save the resource to add it to the shared library. Members can then search for and download it.
Upload limits
Each resource is one file of up to 50 MB. The limit is the same on every plan.
| File group | Accepted formats |
|---|---|
| Images | JPG, PNG, WebP, GIF |
| Documents | PDF, Word, Excel, PowerPoint, plain text, CSV |
| Video | MP4, WebM |
| Audio | MP3, MP4 audio |
| Archives | ZIP |
Other file types are refused. The same limits apply when you replace the file of an existing resource.
Resource categories
Categories organize shared files so members can find them by topic or purpose.
Each category has the following information:
| Information | What it shows |
|---|---|
| Parent company | The parent company or chain that owns the category. |
| Name | The category name shown to members. |
| Sort order | The category's position in the list. |
| Created date | When the category was created. |
Admins can create, rename, and reorder categories. Assign every resource to a category so members can filter the library effectively.
Download statistics
Admins can review download counts and unique-company usage for shared resources. Each download records the resource, user, company, and timestamp.
| Metric | What it shows |
|---|---|
| Download count | The total number of downloads for a resource. |
| Unique-company usage | The number of distinct companies that have downloaded a resource. |
Use these metrics to identify resources that are widely used across the organization and resources that may need clearer titles or descriptions.
