Contacts & Companies
Manage people and organizations, track relationships, and keep your CRM up to date with search, import, and deduplication tools.
Contacts
Contacts represent the people your team works with. Open the contacts list from the CRM to search records, filter by creation date, manage archived contacts, and perform bulk actions.
| Feature | What you can do |
|---|---|
| Search by name, email, or phone | Find a contact using identifying details. |
| Created-date filter | Narrow the list to contacts created within a specific date range. |
| Sort by name or newest | Order contacts alphabetically or by creation date. |
| Show archived | Include archived contacts in the list. |
| Duplicate warnings | Identify contacts that may represent the same person. |
| Add contact | Create a contact from the CRM. |
| Import from file | Add multiple contacts from an uploaded file. |
| Export as CSV | Download contacts that match the current list filters. |
| Multi-select bulk actions | Archive, restore, tag, or export multiple contacts at once. |
Use list filters before exporting contacts when you only need a specific segment. The export uses the contacts included by your active filters.
Contact detail
A contact record brings the person’s relationship history into one place. The editable header includes the contact’s name, contact details, role, company relationship, tags, and custom fields.
The detail view also includes:
- An activity timeline.
- Related meetings, leads, deals, and orders.
- The related company.
- Notes and scheduled activities.
- Archive and restore actions.
- Duplicate banners when the contact may already exist.
- A chain-shared indicator when the record is shared across a company chain.
Create and edit contacts
Use the contact modal to create a new record or update an existing one.
Open the contact modal
Open the contacts list and select the action to add a contact. To update an existing record, open the contact and choose the edit action.
Fill in the contact details
Enter the contact’s name and available details, such as email address, phone number, role, tags, and custom fields.
Set the company relationship
Choose the company associated with the contact. The relationship connects the person to the company record and makes the contact available from the company detail view.
Add tags
Apply tags that help your team organize and filter contacts.
Save the contact
Save the form to create the contact or apply your changes. The updated record appears in the contacts list and its detail view.
Review and merge duplicates
Duplicate warnings help you identify records that may describe the same person. Review the records before merging so you keep the most complete information.
Review duplicate records
Open the duplicate warning from the contact list or contact detail view. Compare the matching records and their available details.
Select the primary record
Choose the record that should remain as the primary contact. Use the record with the most accurate identity and relationship information.
Merge fields
Review the fields from both records and select the values to keep in the merged contact.
Confirm the merge
Confirm the merge after checking the resulting contact. The selected primary record becomes the consolidated contact.
Import and export contacts
Use import when you need to add contacts in bulk. Use export when you need a CSV containing the contacts currently selected by your filters.
Upload a contact file from the contacts list and follow the import flow. Review the records and any duplicate warnings before completing the import.
Apply the filters you need, select the export action, and download the contacts as a CSV file. Clear filters when you need the full contact list.
Companies
Companies represent the organizations connected to your contacts, deals, and other CRM activity. Open the companies list from the CRM to search organizations, filter by industry or creation date, review archived records, and manage companies in bulk.
| Feature | What you can do |
|---|---|
| Search | Find a company by its available identifying information. |
| Industry filter | Narrow the list to companies in a selected industry. |
| Created-date filter | Filter companies by when they were created. |
| Archived filter | Include or exclude archived companies. |
| Sort by name or latest activity | Order companies alphabetically or by recent activity. |
| Duplicate warnings | Identify companies that may represent the same organization. |
| Add company | Create a company record using registry information or manual details. |
| Import | Add multiple company records from a file. |
| Export | Download company records from the list. |
| Bulk actions | Apply supported actions to multiple selected companies. |
Sort companies by latest activity when you need to find organizations that require attention. Use the industry and archived filters to narrow the results first.
Company detail
Company details use a three-zone layout:
- Info rail: Core company information and record actions.
- Central overview and activity: Company metrics, activity history, and key updates.
- Related contacts and deals: People and commercial records connected to the company.
During creation, you can search the company registry and use the matching organization record. A registry verification badge identifies company information that has been verified against registry data. You can refresh registry data when the company’s registered information changes.
Company metrics include:
- Contact count.
- Open deals.
- Open deal value.
- Latest activity.
The company detail view also includes an activity timeline, archive and restore actions, and chain-shared read-only records when applicable.
Chain-shared records
Chain-shared contacts and companies only exist for companies that belong to a chain. A record becomes shared when the chain head office hands a lead to a member company. The member can then open the contact and company linked to that lead, marked with a banner that names the chain. The member keeps that access only while its chain membership is active.
A company that is not part of a chain never sees chain-shared records, chain banners, or other chain features in the CRM.
Create a company with registry lookup
Use registry lookup to find an organization before completing its company record.
Search the registry
Start creating a company and search the registry using the organization’s available identifying information.
Verify the match
Review the search results and confirm that the selected organization matches the company you want to add.
Review the company information
Check the registry information, including the organization identity and available company details. Confirm that the information is current before continuing.
Complete the company creation
Complete any remaining fields and save the company. The new record appears in the companies list with registry verification when the registry match was used.
