Deals & Offers
Track deals through every stage, build offers from your catalog, and manage customer decisions with versioned, auditable documents.
Deals
Manage each deal from its record in the CRM Deals area. Track progress through pipelines, keep customer and activity context together, and move completed work into the next stage of your process.
Deal detail
A deal record brings together the information and actions needed to manage an opportunity:
- Identity: Title and record number.
- Value and ownership: Deal value, pipeline, stage, owner, and source.
- Relationships: Linked contact and company.
- Organization: Tags and custom fields.
- Progress: Stage progression bar, stage aging, and outcome state.
- History: Activity timeline, including related work and scheduled activities.
- Related records: Offers, orders, and inspections when those features are enabled.
Deal actions
| Action | What it does |
|---|---|
| Edit title and value | Update the deal name or financial value. |

| Move between stages | Advance or move the deal back within its current pipeline. |
| Move to another pipeline | Transfer the deal to a different pipeline. |
| Mark Won or Lost | Complete the deal with a won or lost outcome. Lost deals include a lost reason selection. |
| Reopen a completed deal | Return a completed deal to an active workflow. |
| Archive or restore | Remove a deal from active views or return an archived deal. |
| Link contact and company | Associate the deal with its customer records. |
| Add tags, fields, notes, or scheduled activities | Add context and follow-up work to the deal. |
| Convert a Won deal to an order | Create an order from a deal that reached the Won outcome. |
| Create or manage offers | Build and maintain offers associated with the deal. |
| Start or review an inspection | Begin an inspection or review an existing one when inspections are enabled. |
Chain-parent deals are read-only where appropriate.
Catalog
Use catalog items as reusable building blocks for offers. Maintaining common products or services in the catalog helps you reuse consistent descriptions, pricing, tax details, and images across offer line items.
Catalog items
Catalog items support:
- Descriptions
- Prices
- VAT
- Images
- Archive and restore
- Reuse as offer lines
- Ad-hoc custom lines for items that are not in the catalog
Offer Builder
Build an offer from scratch or start from a deal so the customer and deal context are already connected. The builder keeps pricing, terms, recipients, and the customer-facing document in one workflow.
Offer draft
Set the customer and deal identity
Choose the customer and associate the offer with the relevant deal.
Add the offer message
Enter the offer title and introductory message that the recipient will see.
Set terms and validity
Add the offer terms and choose the date through which the offer remains valid.
Add line items
Add lines from the catalog or create ad-hoc custom lines. Set the quantity, unit price, discount, and VAT for each line. Review the calculated net and gross totals before sending.
Choose acceptance and recipient settings
Select the acceptance method, then set the recipient type and language.
Preview and send
Preview the customer-facing offer, resolve any validation messages, and send it to the recipient.
The builder warns you when a price has changed since a catalog item was added. Review the affected line before sending so the offer reflects the price you intend to present.
Use catalog lines for repeatable products or services, and ad-hoc lines when the offer requires a one-time item.
Acceptance methods
| Acceptance method | What it does |
|---|---|
| Click to accept | Lets the recipient accept the offer through a click-based confirmation. |
| Signature to accept | Requires the recipient to provide a signature before acceptance. |
Sent Offers
After you send an offer, the sent offer record becomes the source for tracking its document state, recipient activity, and customer decision. Use the record to distinguish the current version from earlier versions and to review the offer's lifecycle.
Offer lifecycle
A sent offer includes:
- Offer number and version: Identifies the offer and distinguishes revisions.
- Status: Shows the current state of the offer.
- Frozen document: Preserves the document that was sent.
- Version history and thread: Connects the current offer to earlier versions and related activity.
- Audit trail: Records important lifecycle events.
- Recipient information: Shows who received the offer.
- Divergence warnings: Highlights when the viewed version differs from another offer version or expected state.
- Sealing and delivery status: Shows document sealing and delivery progress.
- Customer decision controls: Provides actions for recording or managing the recipient's decision.
Offer actions
| Action | What it does |
|---|---|
| Download PDF or sealed PDF | Download the offer document or its sealed version. |
| View certificate | Open the certificate associated with a sealed offer. |
| Retry sealing | Try to seal the offer again when sealing did not complete. |
| Record customer decision | Record the customer's decision on the offer. |
| Withdraw offer | Withdraw the sent offer from consideration. |
| Record acceptance withdrawal | Record that a previously accepted offer is no longer accepted. |
| Open other versions | Review other versions connected to the offer. |
| View lifecycle history | Review the recorded events for the offer. |
| Create new version from existing offer | Start a new version while carrying forward the existing offer context. |
Offer sealing and signing certificates are part of Sales & CRM. They do not depend on the plan tier. A company can use them when it has the Sales & CRM add-on, belongs to a chain with the Sales module switched on, or is on a live trial.
